1. Acceptance of Terms
By creating an account or using the FarmCFO platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service.
These Terms apply to all users of FarmCFO, including farmers, farm operators, and any other individuals accessing the Service.
2. Description of Service
FarmCFO is a Canadian cloud-based farm financial management platform that provides:
- Income and expense tracking for farm operations
- Bank account transaction import and categorization (via Plaid)
- Grain sale and contract management
- Tax preparation assistance (T2042 / T1163 Statement of Farming Activities)
- AI-assisted bookkeeping and financial analysis
- Receipt scanning and document management
- Financial reporting and lender packages
- AgriStability and AgriInvest reference margin calculations
FarmCFO is a software tool, not a financial advisory or accounting firm. Information generated by FarmCFO is for management purposes only and does not constitute professional tax, legal, or financial advice.
3. Accounts and Registration
Account Creation
To use FarmCFO, you must create an account with a valid email address and password. You must be at least 18 years old and have the legal authority to enter into these Terms on behalf of yourself or your farm operation.
Account Security
- You are responsible for maintaining the confidentiality of your password
- You are responsible for all activity that occurs under your account
- You must notify us immediately of any unauthorized use at privacy@farm-cfo.com
- FarmCFO will never ask for your password via email or phone
One Account Per Farm Operation
Each account is intended for a single farm operation. Sharing login credentials between multiple farms or businesses is not permitted under the standard subscription.
4. Subscription and Payment
Free Plan
FarmCFO offers a free tier with limited features. No payment information is required to use the free plan.
Farm Pro Subscription
Paid subscriptions ("Farm Pro") are billed monthly or annually as selected at checkout. Pricing is displayed on our website at farm-cfo.com.
- Subscriptions automatically renew unless cancelled before the renewal date
- You may cancel your subscription at any time from your account settings
- Cancellation takes effect at the end of the current billing period — you retain access until then
- We do not offer refunds for partial billing periods
- Prices may change with 30 days' notice to your registered email
Payment Processing
Payments are processed securely by Stripe. FarmCFO does not store your credit card information. By subscribing, you also agree to Stripe's Terms of Service.
5. Your Data and Ownership
Your Responsibilities
- You are responsible for the accuracy of all information you enter
- FarmCFO is not liable for errors resulting from incorrect data entry
- Tax figures and reports generated by FarmCFO should be reviewed by a qualified accountant before filing
- You are responsible for maintaining backups of critical financial records outside of FarmCFO
Data Export
You may export your data at any time in CSV or Excel format from within the application. Upon account deletion, your data is permanently deleted within 30 days.
6. Bank Account Connections
FarmCFO uses Plaid Inc. to connect your bank accounts. By connecting a bank account:
- You authorize FarmCFO to retrieve transaction data from your connected accounts
- You agree to Plaid's End User Privacy Policy
- You may disconnect your bank account at any time from the Banking page
- Bank connections are read-only — FarmCFO cannot initiate transactions or move funds
7. AI Features
FarmCFO uses artificial intelligence (powered by Anthropic's Claude API) for bookkeeping assistance, receipt scanning, and financial analysis. By using AI features:
- You understand that AI-generated responses may contain errors and should be reviewed
- AI suggestions do not constitute professional accounting or tax advice
- Relevant portions of your farm data are transmitted to Anthropic's API for processing — see our Privacy Policy for details
- FarmCFO does not use your data to train AI models
8. Acceptable Use
You agree not to use FarmCFO to:
- Violate any applicable laws or regulations
- Enter false, fraudulent, or misleading financial information
- Attempt to gain unauthorized access to any part of the platform or other users' accounts
- Reverse engineer, decompile, or attempt to extract source code from the Service
- Use the Service for any purpose other than legitimate farm financial management
- Resell, sublicense, or otherwise commercialize access to the Service
- Introduce malware, viruses, or other harmful code
Violation of these terms may result in immediate account suspension without refund.
9. Intellectual Property
FarmCFO and its original content, features, and functionality are owned by FarmCFO and protected by applicable intellectual property laws. You may not copy, reproduce, distribute, or create derivative works from the Service without our express written permission.
You retain full ownership of all data and content you upload or enter into FarmCFO.
10. Disclaimer of Warranties
FarmCFO does not provide professional accounting, tax, legal, or financial advice. All financial reports, tax estimates, and AI-generated analysis are for informational and management purposes only. You should consult a qualified accountant or tax professional before making financial or tax decisions based on information from FarmCFO.
11. Limitation of Liability
To the maximum extent permitted by applicable law, FarmCFO shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to:
- Loss of profits or revenue
- Loss of data or farm records
- Tax penalties or audit costs arising from use of the Service
- Errors in AI-generated financial analysis or categorization
- Interruption of access to the Service
Our total liability to you for any claims arising from use of FarmCFO shall not exceed the amount you paid to FarmCFO in the 12 months preceding the claim.
12. Indemnification
You agree to indemnify and hold FarmCFO harmless from any claims, damages, or expenses (including reasonable legal fees) arising from your use of the Service, your violation of these Terms, or your violation of any third-party rights.
13. Termination
By You
You may cancel your account at any time from Settings → Account. Upon cancellation, your data will be retained for 30 days before permanent deletion, giving you time to export your records.
By FarmCFO
We reserve the right to suspend or terminate accounts that violate these Terms, engage in fraudulent activity, or remain inactive for more than 24 months. We will provide reasonable notice where possible.
14. Governing Law
These Terms are governed by the laws of the Province of Saskatchewan and the federal laws of Canada applicable therein, without regard to conflict of law principles. Any disputes shall be resolved in the courts of Saskatchewan, Canada.
15. Changes to These Terms
We may update these Terms from time to time. When we make material changes, we will notify you by email or by posting a notice in the application at least 14 days before the changes take effect. Your continued use of FarmCFO after the effective date constitutes acceptance of the updated Terms.
If you do not agree to the updated Terms, you may cancel your account before the changes take effect.
